Queen City Volunteer Connect (“QCVC,” “we,” “our”) is committed to protecting the privacy of our users. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.
QCVC is a volunteer-hours tracking platform for high school students in the Charlotte, NC area, accessible via our mobile application and at qcvc.org.

Information We Collect
Account Information
- Phone number (required for authentication)
- Full name
- City and state
- User role (student, employer, or administrator)
Student Profile Information
- School name
- Grade level
- Total community service hours (approved and pending)
Employer Profile Information
- Organization name and description
- Contact name and details
- Website (if provided)
Volunteer Activity Data
- Opportunities registered for and attended
- Hours submitted and approval status
- Community service verification letters (stored as PDFs)
Device and Usage Data
- Push notification tokens
- Standard usage logs collected by our infrastructure provider (Supabase)
How We Use Your Information
- Authentication: Your phone number verifies your identity via one-time SMS codes
- Platform functionality: Profile information operates core features — browsing opportunities, submitting hours, generating letters, and managing the platform
- Notifications: Push notification tokens deliver in-app alerts about opportunities and hour approvals
- Administrator-initiated SMS invitations: Admins may send one-time SMS invitations to prospective employer or administrator contacts
- Record keeping: Volunteer hours and verification letters are retained for your future access and reference
Phone Number Privacy
Student phone numbers are never exposed to employers. Employers can see student names on their event rosters but cannot access phone numbers through the platform.
Only QCVC administrators can access phone numbers for account management and moderation purposes. Phone numbers are stored in Supabase and protected by role-based access controls and row-level security policies.
Information Sharing & Disclosure
QCVC does not sell, rent, or share your personal information with third parties for marketing purposes. We may share information only in these limited circumstances:
- Service providers: Supabase (database, authentication, storage) and Twilio (SMS delivery) process data only as necessary to operate the platform
- Legal requirements: We may disclose information if required by law, court order, or to protect safety
Data Retention
Account and activity data is retained while your account is active, plus a reasonable period afterward for record-keeping and legal compliance purposes. Verification letter PDFs are retained for future reference by students and administrators.
You may request deletion of your account and associated data by emailing queencityvc@gmail.com. Account deletion is permanent and irreversible.
Security
We protect your data through the following measures:
- All data transmitted over HTTPS/TLS
- Database access restricted by row-level security (RLS) policies
- Authentication via Supabase Auth with phone OTP verification
- Verification letters stored in a private storage bucket, accessible only via time-limited signed URLs
No method of electronic transmission or storage is 100% secure. We use commercially acceptable means to protect your information but cannot guarantee absolute security.
Children's Privacy
QCVC is designed for high school students, which may include individuals under the age of 18. We do not knowingly collect more information than is necessary to operate the platform. We do not share student information with advertisers or third-party marketers.

Your Rights
You have the right to:
- Access the personal information QCVC holds about you
- Request correction of inaccurate information
- Request deletion of your account and data
- Opt out of SMS messages (reply STOP or contact us)
