Queen City Volunteer Connect ("QCVC," "we," "our," or "us") is committed to protecting the privacy of every user of our platform. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to that information.
QCVC is a volunteer-hours tracking platform for high school students in the Charlotte, NC area. Our platform is accessed through our mobile app and at qcvc.org.

2. Information We Collect
We collect the following categories of information:
Account Information
- Mobile phone number (required for authentication)
- Full name
- City and state
- User role (student, employer, or administrator)
Student Profile Information
- School name and grade level
- Total community service hours (approved and pending)
Employer Profile Information
- Organization name and description
- Contact name and details
- Website (if provided)
Volunteer Activity Data
- Opportunities registered for and attended
- Hours submitted and approval status
- Community service verification letters (stored as PDF files)
Device and Usage Data
- Push notification tokens (for in-app and device notifications)
- Standard usage logs collected by our infrastructure provider (Supabase)
3. How We Use Your Information
QCVC uses your information only for the following purposes:
- Authentication: Your phone number is used to verify your identity via one-time SMS codes when you sign in.
- Platform functionality: Your profile information is used to operate core features — browsing opportunities, submitting hours, generating letters, and managing the platform.
- Notifications: We use your push notification token to deliver in-app alerts (e.g., when your hours are approved or an opportunity is updated).
- Administrator-initiated SMS invitations: Administrators may send a one-time SMS invitation to prospective employer or admin contacts. See our SMS Terms for full details.
- Record keeping: Volunteer hours and verification letters are retained so students and administrators can access them in the future.
4. Phone Number Privacy
We take the privacy of student phone numbers seriously:
- Student phone numbers are never exposed to employers. Employers can see student names on their opportunity rosters but cannot access students' phone numbers through the platform.
- Phone numbers are accessible only to QCVC administrators for the purposes of account management and platform moderation.
- Phone numbers are stored in our secure database (Supabase) and are protected by role-based access controls and row-level security policies.
5. Information Sharing & Disclosure
QCVC does not sell, rent, or share your personal information with third parties for marketing purposes.
We may share information in these limited circumstances:
- Service providers: We use Supabase for database, authentication, and storage, and Twilio for SMS delivery. These providers process data only as necessary to deliver the QCVC platform.
- Legal requirements: We may disclose information if required by law, court order, or to protect the safety of users or the public.
6. Data Retention
We retain your account and activity data for as long as your account is active and for a reasonable period afterward for record-keeping and legal compliance purposes.
Verification letters (PDFs) are retained so students and administrators can access them for future reference.
You may request deletion of your account and data by contacting us at queencityvc@gmail.com. Account deletion is permanent and irreversible.
7. Security
QCVC uses industry-standard measures to protect your data:
- All data is transmitted over HTTPS/TLS.
- Database access is restricted by row-level security (RLS) policies that ensure each user can only access data they are authorized to see.
- Authentication is handled by Supabase Auth with phone OTP verification.
- Verification letter files are stored in a private, access-controlled storage bucket and are only accessible via time-limited signed URLs.
No method of electronic transmission or storage is 100% secure. We strive to use commercially acceptable means to protect your information but cannot guarantee absolute security.
8. Children's Privacy
QCVC is designed for high school students, including minors under the age of 18. We do not knowingly collect more information than is necessary to operate the platform. We do not share student information with advertisers or third-party marketers.

9. Your Rights
You have the right to:
- Access the personal information QCVC holds about you.
- Request correction of inaccurate information.
- Request deletion of your account and data.
- Opt out of SMS messages at any time (reply STOP or contact us).

10. Changes to This Policy
QCVC may update this Privacy Policy from time to time. We will post changes to this page with an updated effective date. Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
